Urgent action

Immediate danger, serious injury or medical emergency

Call 999 first, then inform the onsite Operations Director (OD) who is also your Designated Safeguarding Lead (DSL) onsite.

Safeguarding concern

Speak privately to the onsite OD/DSL immediately, either in person or by telephone (if appropriate).

Accident, illness, near miss or operational incident

Make the situation safe, obtain first aid or emergency assistance if required and inform the onsite OD.

Concern about a staff member or volunteer

Report it immediately using the route below. Do not investigate or approach the person concerned.

Do not wait until you have completed a form before reporting an urgent concern or incident.

Our safeguarding commitment

The welfare of the child is paramount. Every pupil has an equal right to protection from harm.

Some pupils may require additional safeguards because of disability, communication needs, dependency, previous experiences or other vulnerabilities.

You are not expected to investigate a concern or decide whether it meets a particular threshold.

Your responsibility is to:

These are the official 24-hour emergency, incident and safeguarding numbers for each camp.

Calls are directed initially to the onsite OD/DSL. If the first person cannot answer, the call will be redirected through the Operations and Safeguarding Team after approximately 30 seconds.

The onsite OD/DSL will assess the situation and escalate it to Steph Gilbert, Head Office DSL, where appropriate.

When calling

  • Find a private place where pupils and other staff cannot overhear you.
  • If nobody answers, call again.
  • Make sure your telephone number is not withheld.
  • Give your name, location, contact number and a brief indication of the urgency.
  • Remain available in case further information is needed.
  • Do not delay because you do not yet have all the information.

If you have Wi-Fi but no telephone signal

Use WhatsApp to ask the onsite OD/DSL or another designated contact to call you.

Do not include a pupil’s name or confidential information about the concern in your message. Where possible, find the onsite OD/DSL in person.

Use this route if your concern relates to the CEO or you do not feel able to use the usual internal reporting process.

Reporting a concern or incident

1. Respond to any immediate risk

Take any immediate action needed to protect the pupil or others. This may include:

  • calling 999 or requesting first aid;
  • alerting the venue team;
  • asking another member of staff to supervise your group; or
  • moving somewhere suitable to speak privately.

Do not put yourself or anyone else at unnecessary risk.

2. Inform the Operations Director/DSL as soon as you can

Speak privately to the onsite OD/DSL in person or call the relevant 24/7 number.

Report the matter as soon as possible. Do not delay because you are uncertain about its seriousness or do not have all the information.

The OD/DSL will advise you about immediate action and any further escalation required.

3. Complete the appropriate report

Once the immediate situation has been managed and the OD/DSL informed, complete the relevant form. 

There are two separate forms; for incidents or for safeguarding. 

Submitting a form does not replace speaking to the OD/DSL.

Reports are stored in a restricted Podio workspace accessible only to authorised members of the Operations and Safeguarding Team.

Essential Reporting Forms

Before starting work

All staff and volunteers must:

  • complete the required safeguarding training;
  • read the Safeguarding Policy and relevant Code of Conduct;
  • understand the reporting routes;
  • save the correct 24/7 camp number for your camp;
  • identify the onsite OD/DSL;
  • review the venue emergency information; and
  • disclose any new information that may affect their suitability to work with children.
