Overview

This is a fantastic opportunity to work at the heart of an exciting initiative supporting the delivery of outstanding mathematical enrichment to capable young mathematicians across the UK.

Following a successful pilot in 2025, Purposeful Ventures is  again working with Axiom Maths and Future Foundations to deliver three residential maths camps for 12 to 14-year-olds  in August 2026 for up to 150 pupils per camp.

We are seeking a Programme Coordinator, an operational coordination role responsible for participant administration, parent communication and travel planning for Maths Camps 2026.

This role supports the Maths Camps delivery teams but does not hold delivery leadership or on-site safeguarding responsibility.

The Programme Coordinator is responsible for the accuracy and timeliness of participant data. They manage participant allocations across all camps, ensuring confirmations, waiting lists and reallocations are processed accurately and on time. They maintain clear, up‑to‑date data so that every participant’s status is recorded correctly, overseeing acceptances, withdrawals and changes throughout the process.

A key part of the role involves leading communication with parents, carers, schools and teachers. The Programme Coordinator ensures families receive timely and clear information, responds promptly to enquiries and escalates urgent issues to senior staff when needed.

The role also includes supporting travel arrangements by coordinating information from families and schools and maintaining accurate travel records.

During the delivery of the Maths Camps in August, the Programme Coordinator will provide on‑site support at key operational moments, including setup, registration and parent liaison. Although not required to remain on‑site throughout, occasional overnight stays may be needed, particularly for the York programme.

Summary of Role


 

The Programme Coordinator ensures that participant systems, communications and logistics run smoothly before and during camps.

They will take operational ownership of:

  • Participant confirmations and waiting lists
  • Parent and school communications
  • Travel and bursary coordination working with AM mentors
  • Participant data integrity
  • Arrival and departure administration working with onsite teams who will report to you the data

Main Responsibilities


Participant Confirmations & Waiting List

  • Inform pupils and families of confirmed places
  • Manage waiting lists and allocation updates
  • Track acceptances, withdrawals and reallocation
  • Maintain accurate, live participant tracking systems
  • Ensure data integrity across all camps

The Programme Coordinator holds responsibility for the accuracy and timeliness of participant data.

Parent & School Communications

  • Lead day-to-day communication with parents and carers
  • Follow up with schools and teachers
  • Send pre-camp information packs and updates
  • Respond to enquiries promptly and professionally
  • Ensure communications are clear, consistent and welcoming and any urgent issues are promptly escalated to Senior Staff

Travel Coordination

  • Support AM mentors with travel planning in line with agreed guidance
  • Coordinate information from families and schools
  • Confirm travel arrangements
  • Support the CD and OD to line manage the wider delivery staff as appropriate
  • Support bursary-related data tracking (in collaboration with Operations Manager)
  • Ensure recruitment and staffing decisions align with budget parameters

Programme Systems & Administration

  • Maintain and update participant databases and registers including medical, dietary and accommodation information
  • Prepare documentation for on-site teams
  • Ensure documentation complies with data protection and safeguarding requirements
  • Update systems daily during live delivery

On-Site Support (August 2026)

The Programme Coordinator will visit camp sites during key operational moments to support:

  • Pre-camp setup
  • Registration and arrival processes
  • Parent liaison at arrival and departure
  • Administrative coordination

They are not required to remain on-site throughout delivery. Overnight stays may be required, particularly to support the York programme.

Post-Camp Administration

  • Support collation of feedback
  • Ensure participant records are complete and securely stored
  • Input into recommendations to inform 2027 programme design

Candidate Specifications


 

Essential

  • Strong administrative and coordination experience
  • Excellent written and verbal communication skills
  • Experience working with parents, schools or young people
  • High attention to detail
  • Experience of managing large volumes of sensitive data
  • Strong organisational skills
  • Confident managing multiple deadlines
  • Commitment to safeguarding and inclusion

 

Desirable

  • Experience supporting residential or youth programmes
  • Experience coordinating travel or logistics

Remuneration 

£30,000 per annum (pro rata)

Contract 

1st April (or ASAP) to 30 September 2026

Hours

Full-time – Five days a week (35 hours a week). Flexible working with core hours of 10:00-15:00

Hybrid working – London (Devas Club, 2a Stormont Road, London SW11 5EN and home working; Travel required to Horsham and York during August and for pre-planning meetings)

Travel 

Reasonable travel expenses will be covered to and from the host venue, in line with Future Foundations’ travel policy.  All travel expenses must be claimed through our Online Expense Claim system. A receipt must be attached in line with our policy.
